Italy Schengen visa checklist for Indian citizens

Tourist (short-stay, type C) applications submitted through VFS Global in India. Italy fixes WHERE you apply by your residence state, and it is the one Schengen country with an official money table. Both rules below, with sources.

Rule one

Where you apply is fixed, and you must prove it.

Four missions, mapped by your residence state. Embassy of Italy New Delhi covers the north, Consulate General Mumbai the west, Consulate General Bengaluru the south, Consulate General Kolkata the east and northeast. The state-by-state mapping has surprises (Kerala currently maps to Mumbai, for example), so read your state's entry at S2 rather than assuming.
The 6-month residence rule. Italy requires that you apply in the country where you have lived continuously for the last 6 months, with proof. Carry residence evidence matching your jurisdiction: Aadhaar, rental agreement, or utility bills. A passport address from one state and a job in another is exactly the case to document properly.
Rule two

Italy's official money table.

Most countries leave "sufficient funds" vague. Italy publishes figures, from a Ministry of Interior directive, that officers use as the floor when reading your statements. Solo traveller figures below; two or more travelling together get lower per-person amounts. Figures need verification against the official table at S3.

Treat these as the floor, not the target. Statements comfortably above the math, consistent over 3 months, read far better than an exact-amount deposit made last week.

A · Forms, identity and residence

Schengen application form, completed and signed S2

Italy uses the standard Schengen C form, downloadable from the VFS Italy page for your jurisdiction. Fill, print, sign.

Passport S2

Issued within the last 10 years, valid at least 3 months beyond your exit from Schengen, 2 blank pages. Carry old passports with prior visas.

Proof of residence in your jurisdiction S2

Italy's distinctive ask: Aadhaar, rental agreement or utility bills showing you live in the state mapped to the mission you're applying through, supporting the 6-month residence rule.

B · Travel proof

Round-trip flight reservation S2

A reservation is enough; a paid ticket is not required. Refundable fares or airline holds are the safe route. Never submit a fabricated booking; PNRs get verified.

Accommodation proof for every night S2

Hotel confirmations for the full stay. Staying with a host in Italy: an invitation letter with the host's Italian ID or residence permit copy, often as a formal hospitality declaration. Unverifiable host letters are a known Italy refusal trigger.

Travel medical insurance, EUR 30,000 S1

C · Money and work

Personal bank statements, last 3 months, bank-stamped S2

Officers read them against the money table above. Show the table math plus your fixed costs already paid, with no sudden unexplained deposits.

Income tax returns S2

Last 2 assessment years. Self-employed add company ITR.

Employment proof, if employed S2

Employer letter on letterhead with approved leave dates, plus last 3 salary slips.

Business proof, if self-employed S2

Registration or GST certificate, company bank statements for 3 months, company ITR.

Sponsorship documents, if someone else pays S2

Sponsor letter, sponsor's statements and ID, relationship proof. The money table reading then applies to the sponsor's funds.

Cover letter

One page: who you are, when and where you travel, who pays, why you will return to India. Italy files are won on coherence: make your nights-per-country and your accommodation chain explicit. Our generator is in the build queue.

Process

Five steps, in order.

  1. Confirm your jurisdictionFind your residence state's mission and VFS centre at S2, and gather residence proof for it.
  2. Fill the form, book the slotStandard Schengen C form plus a VFS appointment at your jurisdiction's centre. For May to July or December to January travel, book 6 to 8 weeks ahead.

  4. Attend the appointmentBiometrics (valid 59 months), document submission, fee payment. VFS forwards; the Italian mission decides.

Italy-specific quick answers.

Slots are open in another city. Can I apply there?

Only if that city falls under your residence state's jurisdiction. Italy maps each state to one of its four missions and asks for residence proof under the 6-month rule. An application lodged in the wrong jurisdiction risks rejection at the counter.

How much money is enough for Italy?

Use the official table above: roughly €270 fixed for trips up to 5 days, about €45 per day for 6 to 10 days, and formula-based amounts beyond that, with lower per-person figures for couples and groups. Show comfortably more than the math, consistent across 3 months of statements.

I'm staying with family in Italy. What do they send me?

An invitation letter with a copy of their Italian ID or residence permit, ideally as a formal hospitality declaration. If they're also paying, add their financial proof; the money table reading then applies to them.

How long will Italy hold my passport?

Plan for 15 to 21 working days, stretching in the May to July and December to January peaks. Don't lock tight non-refundable plans while the passport is in processing.
